Month 1: Set up
During this month we gather information from you including the inactive patient list, as well as some information that will be essential in setting up our calling scripts. We create your post card designs and strategize with you on the best way to incentivize and entice patients back into the practice.
Month 2: 1st Mailing
We mail out your first design during this month. This is a great first point of contact. You will have a few who take that and call the practice right away to schedule an appointment, and then you will have a lot who put the card somewhere so that they remember to call, and then forget entirely. The point is that your practice name is back on their mind and they are thinking about rescheduling.
Month 3: 1st Calling
We will start calling on the inactive patient list this month. All of those people who stuck the card away somewhere safe to remember to call us, but didn’t, are going to be happy that we called, and will be ready to schedule an appointment. We will leave voicemails for the ones that we don’t reach and schedule call backs for the ones who are too busy to talk to us.
Month 4: 2nd Mailing
Another great point of contact. They are going to see the offer again and think “I should really take advantage of this,” or “those guys left me a voicemail last week, I should give them a call.” They are going to begin to associate your name and your practice with healthy living; which is our goal!
Month 5: 2nd Calling
We are going to reach out to everyone we didn’t get a hold of, the people who said they were too busy to talk to us, and the ones that have asked us to call back later because their scheduled was too busy.
Month 6: Final Calling
This is our last chance to reach everyone on the list who hasn’t scheduled an appointment yet. We remind them of the special offer for reactivating patients and work with their schedule as much as possible to get them scheduled for an appointment right then.
